Description
Project Coordinator
Location: San Diego, CA
Position Summary
ActioNet is seeking a full-time Project Coordinator to support a Navy lab modernization effort in San Diego, CA. The Project Coordinator is the single day-to-day execution coordinator for the program: driving the milestone schedule, coordinating vendors and acquisitions, tracking approvals and funding ceilings, and keeping deliverables, property records, and status reporting current. Coordination duties span the program’s workstreams, including the acquisition and integration of modern compute, GPU, networking, and laboratory infrastructure and the execution of Government-approved training courses. This is a full-time, W2 salaried position.
Employment Details
• Type: Full-Time (40 hours/week), W2 salaried
• Location: San Diego, CA (hybrid with on-site presence)
• Duration: 12-month period of performance with potential for follow-on work
• Salary range: $75,000–$100,000 annually, commensurate with experience
• Clearance: Active DoW Secret clearance preferred; at minimum, U.S. citizenship and the ability to obtain and maintain a Secret clearance and customer site access
Key Responsibilities
The coordinator owns day-to-day execution coordination for the program:
Program coordination and execution (approximately 45%):
• Maintain the program milestone schedule; coordinate the activities, inputs, and reviews each milestone depends on and assemble its acceptance documentation
• Prepare and route approval requests for individual activities and acquisitions; track each action from Government approval through completion
• Support budget and ceiling tracking against the program’s Not-to-Exceed allowances; maintain execution status against approved plans
• Prepare status reports, meeting minutes, risk and action-item tracking for Government reviews; coordinate stakeholder communications across the Government, ActioNet, and vendor teams
• Maintain program records: deliverable logs, correspondence, approval files, and documentation supporting acceptance events
Acquisition and integration coordination (approximately 35%):
• Support development of the OEM-supported hardware acquisition baseline and bill of materials: coordinate vendor quotations, configuration confirmations, and approval packages
• Track procurement actions from Government approval through order, shipment, and receipt; coordinate delivery inspection and maintain serial-numbered property and inventory records
• Maintain the integration schedule and coordinate installation, configuration, and test activities with the engineering team and the customer
• Track software license acquisitions, registrations, renewals, and true-up actions
Training execution coordination (approximately 20%):
• Coordinate the execution of Government-approved training courses: vendor quotations and proposals, enrollments and subscription activations, scheduling, and delivery logistics
• Maintain the training execution plan and calendar, participant rosters, completion records, and training status against the approved ceilings
Required Qualifications
• 5+ years of project or program coordination experience — schedules, milestones, approvals, vendor actions, and status reporting — preferably supporting Department of War (DoW) programs; 3+ years considered with direct DoW program support experience and demonstrated independent execution
• Demonstrated experience coordinating vendors: obtaining quotes, tracking orders, and managing delivery and receiving documentation
• Strong organizational and records-management skills — rosters, inventories, schedules, and status trackers
• Proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook) and collaboration tools (SharePoint or Teams)
• Clear written and verbal communication appropriate for Government stakeholders
• U.S. citizenship and eligibility for a DoW Secret clearance
Preferred Qualifications
• Experience supporting Navy or other DoW laboratory, engineering, or IT modernization programs
• Familiarity with coordinating training execution (enrollments, vendor training channels, completion tracking)
• Exposure to IT hardware/software procurement, property accountability, or configuration management practices
• Active Secret clearance
